New workflow tools provide detailed activity insights to help organisations refine processes and efficiency.
Cognizant Technology Solutions has expanded the use of workforce analytics platforms such as ProHance across multiple delivery units, reflecting the broader industry shift toward data-driven workflow optimization. The rollout undercores how organizations are increasingly embracing granular activity insights to fine-tune processes and enhance operational efficiency.
Internal training material explains that ProHance monitors the interaction of the system through keyboard and mouse activity to outline work patterns and calculate active time. After five minutes without activity, employees are marked as "idle," and "away from system" after 15 minutes. However, individual projects can set different thresholds. The tool also gathers information on device usage, time on websites, applications, breaks, and specific tasks, consolidating this into a comprehensive view of workflow behaviour.
Cognizant has said it will not use the data at an individual performance monitoring level. Instead, the information underpins workflow assessments designed to highlight bottlenecks, minimize process variability, and enhance utilisation across teams. It hopes that this will enable the more rapid detection of inefficiencies and facilitate the smoother running of projects, with clarity on how the data is used.
Tools such as ProHance and Sapience are seeing greater adoption across industries like IT, retail, and real-estate services, where real-time visibility of work patterns aids in making staffing decisions as well as improving processes. In the case of ProHance, there have been reported measured results: Cognizant has reportedly realised savings of about $8 million in one year through gains in productivity and operational adjustments.
While digital transformation accelerates and hybrid work structures become more established, workflow management is one area that continues to rise in priority for many enterprises. This is reflective of the broader challenge faced by organisations in integrating analytics to strengthen operations while ensuring workplace practices remain transparent and focused on their employees.
